Setup
How to build your own bill-fighting agent in an afternoon
A dedicated email, a folder, a system prompt, and three routines. That is the whole thing.
You do not need a special product or a technical background. You need a dedicated email address, a folder, a short set of rules, and a schedule.
1. A dedicated email
Free, and worth more than it costs. The agent only sees bill mail, and every letter asks for written replies to that one address, so everything lands in one place.
2. A folder per bill
One folder per bill, named provider-account, with a log file at the top and sub-folders for bills, EOBs, letters, and proof.
3. The rules
This is the part that matters. Any assistant can read a bill and write a letter. What makes an agent safe and effective is a short, strict instruction set: never pay, never invent a fact, never lie about being an AI, never report a send before the service confirms it, and close a bill only with $0 in writing.
4. Three routines
- Weekday morning: check the inbox, fax statuses, and mail tracking. Report only real changes. No calls unless something triggered one.
- Friday: a written follow-up on anything with no written answer.
- Sunday: re-rank the bills, update the tracker, and write the week's plan.
Expect a routine to miss a run now and then. Add a catch-up instruction to the morning check.
5. The allow list and the block list
Allow: read the bill inbox, click fax confirmations, use the browser for fax and dispute forms, keep the case files, run the routines.
Block: any payment method for bills, filing anything in your name without your approval, your Social Security number, and full passwords.
The one afternoon
In our case the setup that finally worked took an afternoon, and the thing we did not do early enough was create the dedicated email. We would do that first now.
