Verify the send before you call it sent
We reported a certified letter as mailed while it sat on a funding hold.
We logged a certified letter as sent. It was actually sitting on a funding hold with the mail provider, and it was later deleted. The resend hit a second hold.
Nothing was wrong with the letter. The failure was reporting before verifying.
The rule
A send is not real until the service's own status says so. A win is not real until it is in writing. An approval is not real until it is in a transcript or a written reply.
Where this bites
- Mail: check the provider's status and your account balance, not just your own log entry.
- Fax: wait for the status page to report success before logging it.
- Phone: read the transcript. Never trust an automatic summary.
- Email: confirm the send actually completed, and look for the bounce.
The summary problem is real
In our case automated call summaries claimed three wins that the transcripts did not support, including a write-off that was never agreed to. If your tool writes a summary, treat it as a convenience and the transcript as the record.
This same instinct applies to money: never retry a payment blindly. One careless retry sequence created $60 in charges nobody wanted.

they change. Check your own documents and official sources, and decide for yourself
whether to pay any bill.
